Key Takeaways
- Core Identity: Instantly AI cold email software sends sequenced outreach from connected mailboxes, rotates senders automatically, runs a peer-to-peer warmup network and sells B2B lead data as a separate subscription.
- Target Operator: Teams that run multi-mailbox outbound programs and can monitor deliverability with external tools, within a fixed uploaded-contact ceiling per plan.
- Critical Trade-Off: “Unlimited” mailbox connections apply to sending, but Standard Warmup Pool eligibility for custom SMTP accounts is capped by plan. Exceeding the cap moves the whole workspace to the Basic Warmup Pool.
Method: compiled from 8 official Instantly sources and Google’s sender guidelines, with limited interface checks, as of October 2026. SRG does not publish fabricated ratings.

What is Instantly?
Instantly is a cold email outreach platform operated by Instantly Inc., headquartered at 30 North Gould Street, STE 4000, Sheridan, WY 82801, USA. It was founded in 2021 by co-CEOs Raul Kaevand and Nils Schneider, and its commercial terms are published in the Instantly Terms of Service.
The product has four main parts. Outbound plans cover campaign sending, inbox rotation, warmup and the Unibox reply inbox. SuperSearch is the B2B lead database that replaced the legacy Lead Finder module. A flat-fee CRM plan and a public API V2 sit alongside them.
Mailboxes connect through Google Workspace and Microsoft 365 OAuth, App Passwords, or custom IMAP/SMTP credentials. Instantly also sells its own infrastructure: Done-For-You Google accounts, Pre-warmed Google accounts, AirMail accounts and domain registration.
For the workflow around this software, see SRG’s guide to freelance cold email acquisition strategy and the broader set of cold email outreach tools.
🚀 Core Features & Technical Limits
Instantly meters outbound plans by two ceilings: a fixed uploaded-contact total and a monthly email send volume. Mailbox count is not metered for sending, but SMTP warmup eligibility is capped. The sections below separate what the platform enforces from what operators must handle externally.
Uploaded Contacts and Monthly Sending Ceilings
Instantly counts “Uploaded Contacts” as a fixed workspace total, not a monthly allowance. Per the Instantly plan comparison, the limit counts every contact uploaded to campaigns regardless of status (active, paused or draft), and it does not reset monthly.
Deleting contacts from the Lists section does not reduce the counter. Capacity returns only when contacts are deleted from inside campaigns, or when whole campaigns are deleted. The counter can take 5 to 10 minutes to update.
When a monthly send ceiling is reached, campaign sending halts until the billing cycle resets. When the contact ceiling is reached, further lead imports are blocked. Instantly does not bill automatic overages. Extra capacity comes from Outbound Add-ons, which are limited to Hyper Growth and Light Speed.
Mailbox Connections and Inbox Rotation
An Outbound plan lets operators connect and assign unlimited accounts to a single campaign, according to the Instantly account and campaign limits page. Instantly rotates sending across the selected accounts in round-robin order, and Custom Account Tags allow bulk assignment.
Documented pacing guardrails:
- Recommended daily volume: 30 campaign emails per account per day for Google, Outlook and SMTP accounts.
- AirMail cap: 20 campaign emails per account per day.
- Campaign Slow Ramp: increases an account’s volume by 2 emails per day until the daily ceiling is reached.
- Minimum wait time: a configurable interval between sends when campaigns share a mailbox (default: 1 minute).
Disconnecting an account from the dashboard does not remove it from assigned campaigns. The campaign engine waits on the disconnected account until it is removed in campaign settings (empirical interface observation).
Warmup Network Mechanics
Instantly’s warmup is an automated peer-to-peer network in which connected accounts exchange synthetic messages. Each message carries a warmup filter tag, and operators set server-side rules to mark tagged mail as read and archive it. When a warmup message lands in a peer’s spam folder, an automated script moves it to the inbox, marks it “Not Spam” and marks it read.
Default warmup settings are an increase of 1 email per day, a daily warmup limit of 10 (20 to 30 recommended) and a 30% simulated reply rate. The Instantly warmup guidance sets a minimum of 2 weeks for standard accounts and 3 weeks for AirMail accounts.
The health score is calculated as inbox emails divided by total warmup emails sent, multiplied by 100. In one captured interface state, 420 warmup emails sent with 8 saved from spam produced a 98% score (empirical observation, single account).
Warmup pools are segmented:
- Basic Warmup Pool: the fallback pool for workspaces that exceed SMTP limits.
- Standard Warmup Pool: the general multi-tenant peer pool.
- Premium Warmup Pool: a segregated sub-network of aged Google Workspace and Microsoft 365 accounts, described on the add-on pricing page.
- Private Warmup Pool: a dedicated isolated pool for enterprise deployments.
Custom SMTP accounts eligible for the Standard Warmup Pool are capped at 100 on Growth, 500 on Hyper Growth and 1,000 on Light Speed. Exceeding the cap moves the entire workspace to the Basic Warmup Pool, including Google and Outlook accounts, as stated in the Instantly plan comparison.
SRG Warning: The warmup health score reflects peer network interactions only. Instantly has no integration with Google Postmaster Tools or Microsoft SNDS, so the score does not measure reputation at the mailbox provider. Automated synthetic traffic also sits in tension with mailbox-provider anti-automation policies, and Instantly’s pools run without Google or Microsoft authorization.
SRG operational safeguard: monitor spam complaint rates independently in Google Postmaster Tools. Google’s sender guidelines call for staying below 0.10% and never reaching 0.30%.
Campaign Launch Safeguards
Instantly asks for modal confirmation before a campaign moves from Draft to Active. Its bounce detection pauses campaigns when the bounce rate exceeds 5%. It does not block launch when variables are empty, and it does not check DNS authentication before sending.
SMTP transmission cannot be recalled once dispatched. Instantly has no native rollback, so the safeguards below are procedural. For the causes of spam placement, see SRG’s guide to why cold emails land in spam. Run these steps in order before activating a campaign:
- Verify list hygiene: run the lead list through an external email verification pass and remove invalid addresses before upload.
- Verify domain authentication: confirm SPF, DKIM and DMARC pass for every sending domain, and confirm one-click unsubscribe (RFC 8058) is in place per Google’s sender requirements.
- Verify account status: confirm each assigned mailbox shows no DNS or connection error indicators in the Instantly dashboard.
- Verify sender mapping: confirm only intended accounts appear under the campaign’s account selection.
SuperSearch Lead Data and Credits
SuperSearch is sold separately from sending. Growth, Hyper Growth and Light Speed include no recurring data credits, and the add-on pricing page lists the credit subscriptions. A SuperSearch user without an active Outbound plan is limited to uploading or exporting 250 leads.
Credit consumption rules:
- A verified work email found by Instantly costs 1 credit.
- Partner waterfall enrichment costs 2 credits (BetterContact) or 4 credits (ContactOut).
- Standalone email verification, including catch-all verification, costs 0.25 credits per lead.
- No credits are consumed when a verified work email is not found.
- The AI Reply Agent and AI Sales Agent cost 5 credits each per reply or lead. Website Visitors identification costs 3 credits per resolved profile.
Unused credits expire 2 months after purchase on monthly plans and 1 year after purchase on annual plans.
Teams, Workspaces and Client Isolation
Growth is single-user: team members cannot be invited, additional workspaces cannot be added and Agency View is disabled. Hyper Growth and Light Speed include unlimited team seats at no per-seat fee, according to the Instantly plans overview. Workspace roles are Owner, Admin, Campaign Manager and View Only.
Workspace Groups let an admin workspace organize sub-workspaces, and each sub-workspace keeps its own lead lists, campaigns and sending inboxes. Credit subscriptions and Inbox Placement plans can be shared across the group. Sending accounts can move between sub-workspaces via API or dashboard, but Done-For-You and Pre-warmed accounts require Instantly support to transfer.
Instantly states that consolidated data from multiple workspaces cannot be viewed in one dashboard. Agency operators must switch workspaces to compare campaign performance.
API V2, Webhooks and Integrations
The Instantly API V2 documentation describes a REST API at https://api.instantly.ai/api/v2 with snake_case parameters and Bearer token authentication. Rate limits are 100 requests per second and 6,000 requests per minute. API access is included on all paid Outbound plans, and trial accounts receive a 402 Payment Required response.
Webhooks cover email sent, opened, link clicked, reply received, bounced, lead unsubscribed, campaign completed and email account error events. They also cover lead status changes: Interested, Not Interested, Neutral, Meeting Booked, Meeting Complete, Closed, Out of Office and Wrong Person.
Native CRM integrations include HubSpot, Pipedrive and Close, with Zapier and Make.com connectors and generic webhooks. Instantly also publishes an official MCP server connector for AI clients such as Claude Desktop, Cursor and VS Code. Webhook retry schedules and backoff behavior are not published.
⚖️ Documented Pros & Cons
Instantly’s documented trade-off is predictable send-volume pricing against fixed contact storage, separately priced data and external deliverability monitoring. The points below describe operational consequences, not a score.
Documented Strengths
- Unmetered sending mailboxes: Operators can scale sender count without a per-mailbox plan fee, which suits multi-domain rotation.
- Native rotation and pacing controls: Round-robin distribution, Slow Ramp and minimum wait times are built into campaign settings.
- Open automation surface: API V2, a broad webhook event set and an MCP server allow custom reply routing and agent workflows without third-party middleware.
- Seat-free scaling on higher plans: Hyper Growth and Light Speed add team members without per-seat charges.
Documented Limitations
- Fixed contact ceiling: Completed campaigns still consume contact capacity, so historical campaign data competes with new outreach for space.
- SMTP warmup cliff: Crossing the Standard Warmup Pool cap affects every account in the workspace, not only the excess SMTP accounts.
- Internal-only deliverability signal: The warmup score cannot detect provider-side filtering or spam complaint rates.
- Separated lead data: Sourcing and verification credits require a second subscription and expire on schedule.
- No consolidated agency reporting: Cross-workspace performance requires switching between workspaces.
- No refunds: Billed fees are non-refundable, including on annual plans.

| Bulk add-on (Hyper+) | $425/month | 50,000 |
Annual credit prepayment carries a 10% discount, with all credits loaded upfront.
SRG Red Flag: Section 4 of the Instantly Terms of Service states that Instantly does not refund or reimburse unused fees for a started month or year, even pro rata, and does not convert them into credits. This includes annual prepayments.
Documented Plan Thresholds & Value-Add Analysis
Plan thresholds determine how much outbound volume a workspace can run before it needs an add-on or a higher tier. The reference table summarizes the capability gates, and the calculations below convert the published figures into unit costs.
Plan Allowance Reference (Documented Thresholds)
| Capability | Growth | Hyper Growth | Light Speed |
|---|---|---|---|
| Unibox replies | Preview only | Direct replies | Direct replies |
| Invite team members | No | Yes | Yes |
| Outbound Add-ons | Not available | Available | Available |
| API V2 access | Included | Included | Included |
Cost per 1,000 Monthly Emails (calculated by SRG)
Dividing each plan’s monthly-billing price by its monthly send ceiling gives:
- Growth: $47 ÷ 5 = $9.40 per 1,000 emails.
- Hyper Growth: $97 ÷ 125 = $0.78 per 1,000 emails.
- Light Speed: $358 ÷ 500 = $0.72 per 1,000 emails.
- Outbound Add-on: $87 ÷ 125 = $0.70 per 1,000 emails.
Mailboxes Needed to Reach a Plan’s Send Ceiling (calculated by SRG)
This calculation assumes 30 campaign emails per account per day over 30 sending days, or 900 emails per account per month. Reaching each ceiling requires about 6 accounts on Growth (5,000 ÷ 900), 139 on Hyper Growth and 556 on Light Speed. AirMail accounts, capped at 20 emails per day, need proportionally more.
Baseline Total Cost of Ownership (calculated by SRG)
The Growth plan price excludes sending infrastructure. This baseline assumes 3 secondary domains at $15 per year each ($3.75 per month) and 6 sending mailboxes, 2 per domain.
- With Done-For-You Google mailboxes at $5 each: $47.00 + $3.75 + $30.00 = $80.75 per month.
- With Google Workspace mailboxes at an assumed $6 each: $47.00 + $3.75 + $36.00 = $86.75 per month.
- With annual Growth billing at the $6 mailbox rate: $37.60 + $3.75 + $36.00 = $77.35 per month.
The effective baseline therefore sits near $87 per month on monthly billing. It excludes SuperSearch credits, which start at $9 per month.
⚔️ Instantly vs Direct Alternatives
Instantly and Smartlead price by send volume with unlimited mailboxes, while Apollo.io prices by seat. The table compares architectural positioning on five dimensions. Smartlead and Apollo.io figures come from SRG Research Desk’s October 2026 comparison and are not drawn from Instantly’s documentation.
| Dimension | Instantly | Smartlead | Apollo.io |
|---|---|---|---|
| Mailbox model | Unlimited mailbox connections on all plans; pricing set by send volume | Unlimited mailboxes on all plans; pricing set by send volume | Per-seat licensing at $49 to $119 per seat; mailboxes capped per user on lower plans |
| Warmup mechanics | Peer-to-peer network; Standard Warmup capped by SMTP count (100 to 1,000) before Basic downgrade | Peer-to-peer network with tiered pools (Foundation, Growth, Premium) and adaptive drift correction | Sequenced warmup on paid plans; no multi-sender rotation |
| B2B contact database | SuperSearch (610M+ contacts) sold as a separate add-on ($9 to $197/month) | No native database; lists come from Apollo, Clay or CSV | 275M+ contact database bundled into the seat license with a monthly credit quota |
| Agency governance | Sub-workspaces under Workspace Groups; no unified cross-workspace reporting | White-label client portals, isolated client workspaces and a unified Master Inbox | Multi-user team seats; not built around segregated external client accounts |
| Entry pricing | $47/month (5,000 sends, 1,000 contacts, 1 seat, preview-only Unibox) | $39/month (6,000 sends, 2,000 contacts, unlimited seats, full inbox) | $49 to $59 per seat per month (250 sends per day, 2,500 credits, 1 mailbox per user) |
Each architecture aligns with a different constraint:
- Instantly: its documented structure aligns when the workload scales by sender count under volume-based pricing, lead data comes from a separate credit subscription and cross-client reporting is not required.
- Smartlead: its documented structure aligns when the constraint is agency client management, meaning white-label portals, isolated client workspaces and a unified inbox, with lead lists sourced elsewhere.
- Apollo.io: its documented structure aligns when the constraint is a bundled contact database under per-seat licensing, with basic sequencing and one mailbox per user.
Master Instantly
Guides in the Instantly cluster appear below and update automatically as new posts are tagged. Operators building an outbound practice can also browse remote outbound sales roles on the Smart Remote Gigs Exchange.
🏆 Objective Fit Summary
Architectural Fit: Workloads that scale by sender count and send volume, such as multi-domain outbound programs that rotate many mailboxes. Teams with their own lead sourcing, or a separate budget for SuperSearch credits, also fit. So do operators who can run external deliverability monitoring and automate through the API, webhooks or MCP.
Operational Mismatch: Programs that keep large historical campaign archives inside the workspace, because completed campaigns still consume the fixed contact ceiling. Workspaces planning more than 100 custom SMTP accounts on Growth (500 on Hyper Growth, 1,000 on Light Speed) conflict with the Standard Warmup Pool cap. Agencies that need consolidated cross-client reporting, and operators who expect refunds on annual commitments, also conflict with documented behavior.
Sources & Method
The table lists the endpoints behind this page. Plan data is current as of October 2026. SRG did not send live campaigns at scale or exceed the SMTP Fair Usage cap, so the Basic Warmup downgrade is documented from vendor policy, and warmup and account-connection screens were inspected in limited interface checks.
